We’re looking for a proactive and versatile team member who can bring structure, stay on top of the numbers, and support our team across multiple domains with enthusiasm and precision. You're the beating heart of our back office — ensuring everything runs smoothly, from financial admin and HR processes to scheduling and sales support. You work fast, independently, and always two steps ahead.

Your responsibilities:

  • Work scope: Finance & Accounting 50% — Sales Support 25% — HR, Admin & Office Management 25%

  • Finance & Accounting: Take full ownership of our financial back office, ensuring accurate bookkeeping and ongoing project tracking. This includes managing all incoming and outgoing invoices and creating solid cash flow forecasts.

  • Sales Support & Client Relations: Provide essential support to the sales team, from drafting proposals and invoices to following up on partnerships. You’ll also manage client data and contacts within our CRM system.

  • Office Management & Admin Coordination: Ensure smooth day-to-day operations in the office. This includes managing calendars and inboxes and preparing relevant documentation for meetings.

  • HR & Payroll Administration: Handle day-to-day HR processes, including payroll, onboarding, and offboarding. Maintain accurate and timely records of all employee-related matters.

  • Reporting & Process Optimization: Analyze operational data to provide insights and prepare reports. You’ll also bring structure to workflows and support the preparation of materials for the Board of Directors.

  • Detail-Oriented & Financially Fluent: Numbers are your second language — you’re accurate down to the decimal and confident in managing budgets, tracking expenses, and navigating complex financial data with precision 

  • Organized & Hands-On: You bring structure and order to everything you do. Whether it’s juggling admin tasks, following up on client needs, or supporting day-to-day operations, you’re the type who rolls up your sleeves and gets it done. 

  • Fast & Efficient (Without Cutting Corners): You’re a natural multitasker who works quickly and efficiently, always keeping an eye on quality and detail — even when deadlines are tight. 

  • Tech-Savvy & Tool-Ready: You’re already comfortable with tools like Slack, Monday, Odoo, and Google Workspace, or you’re eager to learn fast. You love using smart systems to stay organized and improve workflows. 

  • Experienced in Accounting Software: You’ve worked with accounting tools before and know your way around financial software — whether for bookkeeping, payroll, or reporting.

  • Solution-Oriented & Calm Under Pressure: Challenges don’t throw off your game. You stay composed, think in solutions rather than problems, and keep your cool when things get busy. 

  • Fluent Communicator in Dutch, English is a strong asset: You speak and write fluent Dutch, which is essential for supporting our team and operations. You also feel comfortable communicating in English, as you'll be working in an international team.
